INFORMATION FOR NEW STALLHOLDERS

Thank you for taking an interest in becoming a stallholder at Shire Farmers’ Market (SFM). Please read the information below before completing the registration form. Acceptance of the accompanying Terms and Conditions must also be forwarded with your registration form.

Note: NO ELECTRICITY is provided for stallholders at Shire Farmers’ Market.

Note: SFM is a FULLY OUTDOOR, ALL-WEATHER market. PLEASE DO NOT APPLY IF YOU DO NOT WISH TO TRADE IN BAD WEATHER. (If the weather is extreme or dangerous, the market may be cancelled by management with fees transferred, but not refunded).


SFM will operate on Saturdays, weekly (rain, hail or shine) from 8am to 1pm. Setup and breakdown will be before and after these times (6.30am with vehicles off-site by 7.30am; 1pm to 2pm). SFM will not trade on the last Saturday in December nor part of January – it will recommence on a date in January/February decided by SFM each year.

STALLHOLDER FEES (INC GST) & STALL SIZES. PRICES ARE PER WEEK AS AT 1/1/25.
Stallholders must provide own gazebo, tables and weights (x4)

Van space or more than 2 stalls will be negotiated with management.

A “permanent stallholder’’ is:
i) at the market each week. Invoices will be for one month, payable in two spread-out instalments. Cancellations are refundable up to 5pm Thursday (prior to market). Payments will not be rolled over.

A planned absence of more than two weeks will require written notification and could possibly result in loss of your regular/semi-regular spot in the market.
We will endeavour, where possible, to give you a permanent position in the market (though this cannot always be guaranteed); OR

ii) at the market twice per month on nominated Saturdays. Invoices are for one month and payable in two spread-out instalments. Cancellations are refundable up to 5pm Thursday (prior to market). Payments will not be rolled over. A planned absence of more than two attendances will require written notification and could possibly result in your loss of your regular/semi-regular spot in the market.
Will we endeavour, where possible, to give you a permanent position in the market (though this cannot always be guaranteed).

Permanent withdrawal from the market by permanent (ie. weekly or twice-monthly) stallholders requires 14 days’ notice in writing to management so the spot can be filled. If less than 14 days’ notice of withdrawal is given, the permanent stallholder must still pay the fees for the Saturdays that fall within that period (even if no longer attending market).


Regular monthly attendance will be classified as “casual”. The same positions in the market are not guaranteed.

How to apply for a stall at SFM:

Email your completed registration form, public liability insurance certificate and Acceptance of Terms & Conditions to shirefarmersmarket@gmail.com . Depending on the product mix, you will be advised as soon as possible if you have been successful or unsuccessful (perhaps go on out waiting list) via email.
Bookings are made and confirmed via email with management. Casual stallholders (without set dates) are required to book via management each week by 5pm Thursday for the following Saturday’s market.
All payments will be made via Paypal invoice; this includes payment by card option. New and casual/monthly stallholders will be required to pay for their stall by 5pm Thursday prior to market.
Cancellations:

Please note there are no refunds for cancellations after 5pm on the Thursday prior to market day. This is regardless of reason for cancellation. If the fee has not been paid at the time of cancellation, it remains outstanding. Fees will not be rolled over.

Stall position:
On the Friday prior to market day you will receive an email with entrance instructions. You will be allocated your stall spot on the day when you arrive at check-in. As a general rule, all stallholders must be on-site no later than 7am am to set-up and your car/van off site by 7.30am. Depending on position, you make get instructions re earlier check-in.
Please note: all stalls are to remain manned until 1pm even if you sell out.
No stallholder is to use the bins provided for public use or bins in the surrounding area/streets.
Shire Farmers’ Market no longer supports the use of single-use plastic bags. Please consider this in your packaging.

Products:
SFM is predominantly a ‘farmers’/food market’. With this in mind, only a limited number of non- food/beverage stalls will be approved to trade during the year. On occasion (Christmas included) a larger number of ‘gift’ stalls may be allowed as deemed appropriate by SFM Management and subject to availability. Stall applications are accepted/rejected depending on the current product mix to ensure variety without too much duplication. SFM Management will approve all products for sale and the stallholder will abide by this approval; SFM Management reserves the right to approve all or a limited selection of the products and services proposed in your application. Any new products introduced once you are attending the market, must be approved by management via email.

Community Groups:
Each week one community group (not for profit) will be allowed to setup a FREE stand (max 3x3m) to promote their group or organisation. This stall does not include religious or political groups. Community groups should email management giving a full explanation of your group’s aims and provide us with any written documents (including Public Liability Insurance) or paraphernalia you wish to distribute or sell. No paraphernalia will be distributed that denigrates individual people, companies or organisations. SFM Management will provide the following for your attendance: 1x 3x3 gazebo and 1x long trestle table (183 x 65cm). All community groups are to abide by the same rules as for stallholders; ie. stall must be manned until 1pm.

NECESSARY PAPERWORK FOR REGISTRATION:
SFM Management requires the following paperwork when you register as a stallholder.

All stallholders require an ABN.

Acceptance of the Terms & Conditions must be forwarded with registration form.

All stallholders (including community and non-profit) are required to forward a current copy of their Public Liability Insurance (PLI) to the amount of $10 million. This cover must be Australia-wide. (This can be forwarded after approval and before trading, if not already held).

Some food handlers may be required to have a Food Safety Supervisor Number, this depends on a number of factors, please check – www.foodauthority.nsw.gov.au/industry/fss- food-safety-supervisors/

Certified Organic & Biodynamic Food & Beverage Producers & Sellers must clearly display the appropriate paperwork on their stall showing proof of claims made. You must also submit this paperwork (inc HACCP certificate). You must also have any relevant paperwork on hand to show the consumer, Shire Farmers’ Market staff or Council upon request.

Those stallholders operating kids’ ride/amusements and face painting must have a current NSW Child Protection Certificate as well as the applicable insurances as listed above. Face painters also provide management with list/type of products used.

Besides the above, all stallholders must hold all licences and necessary paperwork to operate their business; all products and licence requirements should comply with relevant Federal or State safety and compliance standards including Liquor licence and RSA.

All appropriate paperwork is to be submitted to SFM Management when registering and will be checked and held on file for a period of 12 months when it will then be reviewed. All stallholders will only have to submit the necessary paperwork applicable to their stall when first registering and when such licences etc. are renewed.
